Checklist for fleet managers

Is Your Fleet Ready for 2026–2027?

In 15 minutes, assess whether your fleet data, processes and responsibilities are under control—and identify gaps that may be driving costs, risk or unnecessary manual work.

What will you assess?

Telematics and data

Assess whether mileage, fuel, location and incident data is consistent—and whether it actually supports reporting, cost allocation and operational decisions.

Fleet processes

Check whether deadlines, alerts, fines, incidents and requests trigger a clear action with an assigned owner and due date.

Fleet policy

Review whether vehicle-use rules, driver responsibilities and responses to violations are clearly defined and consistently applied.

People and accountability

Assess whether roles, data access and responsibilities are clear to both the fleet team and drivers.

From assessment to action

The checklist is not designed to rank fleets or reward the number of tools already in place. It helps separate essential operational foundations from advanced capabilities that can reduce costs, automate work and improve control.FleetOnAir to platforma do zarządzania flotą — łączy dane z pojazdów, kosztów i procesów operacyjnych w jednym miejscu.

Once completed, you will be able to determine whether your fleet is at the stage of strengthening its foundations, automating processes or optimising operations. The risk map will then help you select three priorities for the next 30–90 days.

Who is this checklist for?

The checklist is designed for fleet managers, CFM providers, leasing companies and anyone responsible for company, pool or mixed fleets. It is especially useful when:

Scattered data

Vehicle, driver, fuel, document and cost data is spread across multiple systems, spreadsheets or email inboxes.

Manual oversight

Deadlines, alerts and tasks require regular manual checks, while execution depends on specific people remembering what needs to be done.

Unclear ownership

Issues are visible, but it is not always clear who should respond, by when or through which escalation path.

Planned improvements

You want to automate processes or introduce new solutions, but first need to confirm that the operational foundations are in place.
